The Ashukan Institute collects and uses personal information in
connection with its activities: online training courses, conferences and events,
publications, strategic consulting, a collaborative terminology guide, and
the sale of products and services.
We are committed to protecting this information in accordance with the Act Respecting the
Protection of Personal Information in the Private Sector (Québec,
as amended by Act 25) and, where applicable, the Act Respecting the
Protection of Personal Information and Electronic Documents
(PIPEDA, Canada).
This policy explains what information we collect, why,
how we protect it, and what your rights are.

We do not collect any personal information from minors under
the age of 14 without the consent of a parent or legal guardian.
We do not use your information for any other purposes without obtaining
new consent. We never sell or rent your
personal information.
By providing us with your information, you consent to its use
for the purposes described above. Consent for non-
essential uses (newsletter, analytics cookies) is requested separately, in a
clear manner, and may be withdrawn at any time:
Withdrawal of consent does not affect processing that is necessary for
the performance of an existing contract or processing required by law.
When you submit a proposal to the Terminology Guide:
The Institute’s platforms (website, training platform,
collaboration space) are hosted on servers located in Quebec (OVHcloud data center
in Beauharnois), under Canadian jurisdiction. Hosting
and administration are entrusted to Triskelia Solutions Inc., which is bound by
a written agreement: the Institute’s data—including your information—
remains the exclusive property of the Institute, is treated as
strictly confidential, and is not accessible to any other client or
third party.
Your information is shared only with the following categories of third parties,

Some of these service providers process data outside of Quebec.
Before disclosing any personal information outside of Quebec, the Institute
assesses privacy-related factors in accordance with the law and ensures
that the information is adequately protected, in particular through
contractual clauses.
We do not share your information with any other entity, unless required by law

We retain your information only for as long as necessary for the
purposes for which it was collected, and then we securely destroy it
or anonymize it:
The Institute implements security measures commensurate with the sensitivity
of the information: communication encryption (TLS), access control
on a per-user basis, restriction of administrative access to designated individuals,
environment isolation, daily backups with off-site copies,
logging where appropriate, and application firewalls.
The Institute maintains a record of privacy incidents. If an incident
poses a risk of serious harm, we will notify the Quebec Commission
on Access to Information, as well as the individuals concerned, with
due diligence, in accordance with the law.

We may update this policy to reflect changes in our
practices or the law. The date of the last update appears at the top of the
document; any significant changes will be announced on the website.
